Overview

What is Portable UI for Business?

Basic operations such as copy, fax, and scan (Store to Folder or E-mail) operations can be performed from iOS and AndroidTM mobile devices. Your smartphone can be used as a portable UI panel. Simply set a job on your smartphone and touch the NFC (near field communication) reader of the multifunction device with your smartphone. Since the settings are already specified on the smartphone, the job can be opened immediately without performing operations at the multifunction device, which reduces crowding at the device.
* A wireless environment with an access point is required.

Features

Basic operations such as copy, scan, and fax operations can be carried out on AndroidTM and iOS devices. Because jobs can be started by simply touching these devices to MFDs as if you are carrying your own control panel, workflow is not interrupted and waiting time for other users can be reduced. Also, operational support can be provided via an automatic read-aloud feature and an accessibility feature of the mobile devices for visually impaired users and users in wheelchairs to simply operate the screens.

  • This application can be downloaded for free from App Store and Google Play.
  • Because an MFD has an NFC tag as standard, it is not required for users to purchase optional equipment (e.g., IC card readers).
  • An access point and a wireless network must be set up at a customer's site.

Simply set a job on your smartphone.

 

User-friendly operability

Functions can be configured in the same way as with your familiar device since a design compatible with the operations of mobile devices has been adopted.
In addition, the built-in accessibility feature on mobile devices also helps visually impaired users by reading aloud.

1. Enlarged text

Character sizes can be enlarged so that characters are easier to read.

2. Text to Speech

In order to guide users through the application, the operational procedure that is not displayed on the screen as well as the displayed procedure are read aloud.

3. Enlarged screen display

A part of a screen can be enlarged easily.*

4. Color inversion

To make it easier to see characters, the background color can be darkened, and the color of characters can be lightened.

Registering frequently-used settings as favorites

The Copy, Fax, Scan (Store to Folder), and Scan (E-mail) settings configured on the application screen can be saved as favorites. After any setting is selected from [Favorites], and a mobile device is touched to an MFD, a job can be executed. Using Portable UI for Business, up to 30 favorite settings can be registered for a single user.

1. Naming of Favorite

User can register the desired name of each Favorites.

2. Display order changeable

User can change the display order according to the name and the usage history.

 

An external keyboard can be connected to a mobile device via Bluetooth so that the device can be operated using the keyboard.

FAQ

[iOS and Android]
Features available are Copy, Email, Store to Folder, and Fax.
You can save different settings to Favorites and launch them with one-touch.
Job instructions can be sent by tapping the multifunction device via NFC*1, or tapping [Start Job].*2
Status will be notified according to the Notification settings.
Also, as an Accessibility feature, you can listen to the voice guidance on smartphone or tablet while operating the app. You can also operate the app with your keyboard, and smartphone or tablet.

*1: NFC stands for Near Field Communication.
Communication on this app is carried out by holding the smartphone or tablet to the multifunction device.
*2: You can only tap NFC to send job instructions for Android.

You can use voice guidance by enabling the feature at Accessibility on your smartphone or tablet.
Refer to the following setup for each OS.
Also, check how to adjust the desired volume on your mobile devices.

[iOS]
Enable VoiceOver via [Settings] > [General] > [Accessibility] > [VoiceOver] in your iPhone or iPad.
Refer to the smartphone or tablet tutorial, or the Apple official site on how to use VoiceOver when it is enabled.

[Android]
Enable TalkBack via [Settings] > [Accessibility] > [TalkBack] in your smartphone or tablet.
Refer to the smartphone or tablet tutorial, or the Google official site on how to use TalkBack when it is enabled.

Features available are as follows:
Quantity, Output Color, 2 Sided Copying, Paper Supply, Reduce / Enlarge, Pages per Side, Lighten / Darken, Staple, Original Type, Original Orientation, Background Suppression, Negative Image.

Note: Depending on the configuration and settings of multifunction device, some features may not be available.

[iOS and Android]
Features available are as follows:
File Format, Color Scanning, 2 Sided Scanning, Resolution, Quality / File Size, Original Type, Original Orientation, Skip Blank Pages, Background Suppression.
You can select recipient’s email address from Contacts on your smartphone or tablet.
Only 1 email address can be specified as recipient.

Note: Depending on the configuration and settings of multifunction device, some features may not be available.

Features available are as follows:
Color Scanning, 2 Sided Scanning, Resolution, Quality / File Size, Original Type, Original Orientation, Skip Blank Pages, Background Suppression.
You can specify a storage location from folder number “1 to 200”

Note: Depending on the configuration and settings of multifunction device, some features may not be available.

Features available are as follows:
Resolution, 2 Sided Scanning, Lighten / Darken, Original Type
You can select recipient’s fax number from Contacts on your smartphone or tablet.
Only 1 fax number can be specified as recipient.

Note: Depending on the configuration and settings of multifunction device, some features may not be available.

[iOS and Android]
You can save frequently used settings, and label it with your preferred name for easy retrieval in future.
By selecting a registered favorite from the list, you can quickly call up the settings to run a job.

[iOS and Android]
This app can be displayed in Japanese and English.
Depending on your smartphone’s or tablet's language preference settings, the app will be displayed as follows:*1

- Mobile device: Japanese,              App: Japanese
- Mobile device: English,                  App: English
- Mobile device: Other languages,  App: English

*1: Procedure to set up language preferences may differ depending on your smartphone’s or tablet's OS version.

This app does not support IPv6 network.

[iOS and Android]
The app only supports local authentication, where user details are stored in the multifunction device.
It does not support remote authentication.

Note:
- When multifunction device is set to [Log In to Local Accounts], ensure that the authentication details of this app is the same as the user details on multifunction device. Otherwise, you will not be able to use the features on this app.
> Enter the user ID and password used for login to multifunction device in Authentication Settings of this app.
> Use this app when you have logged in to multifunction device with the above user ID and password.

Installation

[iOS and Android]
The following settings are required on multifunction device:
System Administrator login is required to change settings.

Select [All Users] for [Auto Start Job Flow Sheet] on multifunction device screen via [Tools] > [System Settings] > [Job Flow Service Settings].

[iOS and Android]
Enter IP address of multifunction device on the address bar of web browser on your smartphone or tablet, and check that you can access the CentreWare Internet Services*1.
You are connected to multifunction device if you can access CentreWare Internet Services.*2
You are not connected if a warning screen stating that webpage cannot be opened is displayed on the web browser.
When warning screen is displayed, check the wireless LAN access point settings with your network administrator.

*1: CentreWare Internet Services
If you enter IP address (e.g. http://192.0.2.1) of multifunction device in web browser, the CentreWare Internet Services screen will launch.
*2: To use CentreWare Internet Services, you need to configure settings on multifunction device.
Print the Configuration Report and check that IP address of multifunction device is set, and HTTP protocol is enabled.

For [Internal LAN (Wired)] or [Internal LAN (Wi-Fi)], you can use your mobile devices via internal LAN access points to send Copy, Scan, or Fax instructions to the multifunction device.

Note: The features on this app will be unavailable when connecting smartphone or tablet with multifunction device via Wi-Fi Direct®.

How to Use

[iOS and Android]
Be careful not to touch the control panel of multifunction device when holding a large tablet to NFC area. Touching a button may unintentionally start a job.
The position to hold NFC*1 differs depending on the smartphone or tablet. Check the user guide of your smartphone or tablet.

For this app, the Copy, Scan, or Fax job status will be notified via the notification settings of OS.
It is recommended that you change the notification settings on your smartphone or tablet to effectively display the Copy, Scan, or Fax job status.

Procedure

Note:
- Feature name and configuration may differ depending on your mobile device and the OS version.

[iOS]

1. Change the settings of this app via [Settings] > [Notifications] > [Portable UI].

- Enable [Allow Notifications]
- Select [Lock Screen], [Notification Center] and [Banners]
- Set [Banner Style] to [Persistent] 

[Android]

1. Change the overall settings of this app via [Settings] > [Apps & notifications] > [Notifications].

- Enable [Allow notification dots]
- Enable [Blink light]
- Set [Default notification sound] to any sound other than [None]

2. Change the notification settings for this app via [Settings] > [Apps & notifications] > [Portable UI] > [App notifications].

- Set to [On]
- Enable [Allow notification dot]
- Enable [Allow interruptions]
- Set [On the lock screen] to [Hide sensitive notification content]

The following messages appear only for the first time.
Tap [OK] to continue.
When a certificate other than the self-signed certificate is used for encryption settings, this app may become unavailable.

This app does not support copying of mixed size originals.
You can do this on multifunction device.
[iOS and Android]
If Pages per Side is set to 2 Pages or 4 Pages, Reduce/Enlarge can only be Auto %.
In this case, you cannot manually adjust the Reduce/Enlarge settings.
[iOS and Android]
The default setting is URL notification.
You need to change the setting on multifunction device.
Contact Fuji Xerox customer support if you want to send email attachment instead.

[iOS and Android]
For this application, it is recommended to set folder passcode to improve security.
Check your folder settings on multifunction device via the following procedure.
Owner of folder is required to log in to change folder settings.

Open folder list on multifunction device screen via [Tools] > [System Settings] > [Setup] > [Create Folder].
Select your folder and make the following changes:
- Select [On] for [Check Folder Passcode].
- Enter your preferred passcode.

Troubleshooting

[iOS and Android]
Check that the multifunction device is turned on.
Then check the following on your mobile device:
- Wireless LAN is enabled.
- For smartphone or tablet with NFC*1, ensure NFC*1 is enabled.
- Smartphone or tablet is connected to the same network as multifunction device.

*1: NFC stands for Near Field Communication.

[iOS]
iPhone/iPad may not display error even when you hold your mobile device to NFC*1 of multifunction device because multifunction device is turned off so NFC*1 becomes unavailable.
Check that the multifunction device is turned on and hold your iPhone/iPad to the NFC area again.

The following are the main causes and how to handle.

Main Causes and How to Handle

[iOS and Android]

1. Check the Authentication Settings of this app.

- Ensure that the user ID and password on this app are left blank.
- Ensure that spaces and characters like underscores that are easily overlooked are not entered.

Note:
- When [No Login Required] is selected for [Login Type] in multifunction device, user ID and password must be left blank.

2. Check [Job Flow Service Settings] in multifunction device.
    System Administrator login is required to change settings.

- Select [All Users] for [Auto Start Job Flow Sheet] on multifunction device screen via [Tools] > [System Settings] > [Job Flow Service Settings].

[Android]
Depending on your smartphone or tablet, NFC*1 may be automatically disabled when USB cable or wired earphones are connected. 
Unplug the cable when using NFC, or use wireless devices such as Bluetooth earphones when using together.

[iOS and Android]
Speech feature is dependent on the performance of the speech engine installed in your smartphone or tablet.
Proper nouns, email addresses, numbers, which are not common words found in dictionary, may not be read out correctly.
Also, depending on the language settings of your smartphone or tablet, content may not be read out properly.

[Android]
Depending on the TalkBack version on your smartphone or tablet, operation results may be read out with different content or at different timings.

[iOS]
For iPhone/iPad users, Copy, Scan, or Fax status may appear as “In Progress” even when a multifunction device fault has occurred.
Check the status on multifunction device.

[iOS and Android]
Depending on the type of fax errors, status may not be displayed in app.
Even in such situation, you can enable the Alert Tone in multifunction device to make it easier to notice that error has occurred.
System Administrator login is required to change settings.

Set the desired volume on the multifunction device via the following procedure.
